HubSpot Ownership · Made Simple

# Every record has an owner. Owner Match finds it.

Owner Match assigns CRM records to the correct HubSpot owner based on the value of any property — territory, country, product line, business unit, or anything else you route on. Build the mapping once, reuse it everywhere.

Why teams switch

## Stop maintaining routing logic by hand.

Replace scattered workflow branches with one reusable source of truth for ownership logic — manageable in minutes, scalable to thousands of mappings.

01 / Speed

### No more workflow branches.

Create a mapping between property values and HubSpot owners, then apply it with the Owner Match workflow action — no complex branching logic to build or maintain.

02 / Control

### One place for every mapping.

Update routing rules in Owner Match instead of duplicating the same logic across many workflows. Reuse the same configuration wherever that CRM object is routed.

03 / Scale

### Built for large mapping sets.

Import and export mappings via CSV, validate large batches, and catch invalid rows before they break routing — no manual re-entry required.

How it works

## From value to owner, without magic.

Owner Match evaluates one enrolled record at a time, right inside your HubSpot workflows.

01

### Workflow record

A record enters a HubSpot workflow where the Owner Match action is configured.

02

### Read property

The action reads the live value of the property you chose when building the configuration.

03

### Find mapping

Owner Match checks your saved configuration for a mapping that matches that value.

04

### Assign owner

When a match is found, Owner Match updates the record owner in HubSpot automatically.

If the property is empty or no mapping exists for that value, Owner Match makes no change — the record's existing owner stays untouched.

## Works across your entire CRM.

Built for scale

## No black box on bulk imports.

Every imported row is validated before it reaches your configuration. Invalid rows are flagged with the exact reason, so nothing silently breaks your routing.

Italy;italy.owner@example.com Row can be imported as-is Valid

Spain;unknown@example.com Owner email can't be resolved to a HubSpot owner Unknown owner

italy;italy.owner@example.com Duplicates "Italy" — case and whitespace are ignored Duplicate

France;france.owner@example.com;2024-01-01 Row structure doesn't match the expected columns Invalid format

FAQ

## Frequently asked questions.

Do I need a separate account to use Owner Match?

No. Owner Match is accessed directly from HubSpot after installation — there's no separate login or external account.

What happens if a record's property doesn't match any mapping?

Owner Match makes no change. If the property is empty or there's no mapping for that value, the record's existing owner is left untouched.

Can I manage large sets of mappings?

Yes. Configurations can be imported and exported via CSV, so you can update large sets of mappings in bulk or manage them outside HubSpot.

Does Owner Match work with custom objects?

Yes, when the optional custom object permissions are granted during installation.

Will changing a mapping affect workflows already running?

A configuration can be used by multiple live workflows. Treat mapping changes as changes to production routing logic, and test important updates before relying on them at scale.
